Pre-registration Quick
Reference Guide
This first page is a
quick guide for carrying out the student advising and SIS registration
process. For more details please see the
Univers documentation or call Information Services for support. You can print this first page and keep by
your computer for a quick reference. The
remainder of the document is detailed step-by-step
instructions.
Advisors must be
entered in Univers College Faculty setup by the SIS Administrator prior to conducting on-line
advising for the purpose of SIS registration.
This will be based on the advisor ID previously assigned in Univers.
Schedules can not be
forced in SIS. Any schedule that must be
forced must be done by the appropriate personnel.
Here are the basic
steps for preparing your advisees for registration:
GENERAL:
- Prior to or during your meeting
with the advisee, obtain the registration PIN for the advisee using the
procedure in No. 1 below.
- Each student will be assigned a
unique PIN for registration. This
is in addition to their login PIN and is only used for the online
registration function in SIS. Their
login PIN will be used for all other SIS functions and is initially set to
their student ID. They will be
prompted to change it the first time they log in. To keep the initial login PIN, they just
re-enter it in the new PIN field instead of changing it to something else. Students will also be prompted to change
their registration PIN when they visit the online registration function
the first time. They can re-enter
the assigned PIN in the new PIN field to keep it the same.
- There are two ways to get the
student’s registration PIN in the Faculty information system;
- Choose ‘Registration
PIN Lookup’ or
- Choose ‘Advising
Students’ and then choose PIN lookup
(Use
the appropriate link to see the pictures of the procedure)
- Use the IPW (or degree audit when
available) to help determine what the student needs to take.
- Give the registration PIN and
internet address for SIS to the student.

- Use the messaging function in ‘Advising Students’ to send the recommended courses
to the student, with suggested alternates.
When the student logs in to SIS the message will pop up and they
can print if desired. This is
especially convenient for the ACCEL students because they never really
have to visit the advisor. Students
may reply to the advisor message when they login to SIS, either before or
after registering.
Step-by-step
instructions:
Three ways to
get to the Faculty Information System Web Site:
1. Use this link: http://www.college-faculty.com/7815

2. From the main
Anderson College Web page select ‘Campus and Community’ then ‘Computing and
Technology’ from the menu.

You
will then see the IS Department Web site.
Look for the Information/Resources section and the Faculty Information System (SIS) link and click on it.

3. Open Internet
Explorer and in the Address box at the top enter this link:
http://www.college-faculty.com/7815
Then press enter or
click on ‘Go’.
Either way you
will be taken via the Web
to the Faculty login page:



- For Faculty ID, enter your SSN.
- For PIN, if this is your first
time ever logging in enter you SSN.
You will be prompted on the next screen to change your PIN.





- Enter the ‘New PIN’ and enter it
again in the ‘Verify New PIN’ field.
NOTE: You may re-enter your SSN as the New PIN if
you want to keep it that way, or you can change it to something else.
- After entering the New PIN and
verifying, click the ‘Change PIN’ button.
NOTE: You can sign out anytime on most screens by
clicking the ‘Sign Out’ button.
Upon
successful login you will see
the following menu:



This menu has several
useful functions.
For advising and
registration you will use mainly the “Registration PIN Lookup” and “Advising
Students” choices. “Registration PIN
Lookup” should only be used if you want to quickly look up an individual
student’s PIN one at a time. Otherwise
“Advising Students” is much more efficient for working with several advisees
and it provides much more functionality.
“Registration PIN Lookup” provides
the following menu:





- You can either enter the student
ID here, then click “Find PIN” or
- You can list students by major by
selecting the major, then click “OK”.
This results in the following screen:





- Select a student in this box, then
click “Find PIN”. The resulting
information will show on the right.
- On most screens, when you are done
or you want to go back, you can click the “Back to Main Menu” button.
Back to the Main
Menu.


“Advising Students”
“Advising Students” is where you can perform
the majority of student advising functions.
The following screen is
displayed:





- Click on the appropriate term that
you want to advise for. You will
not need to select an Advisor ID since we do not assign more than one per
person.
- After selecting the term you can
just click “Continue”
NOTE: Remember at any time you can back up or sign
out.



- Here you would Select the student
to advise, then click “OK”. I have
blanked out student ID’s in this picture for security.



Here you can add notes that only
you will see. This is a good place
to record things that you may have to refer to later.

- Click on the “Add/Remove” button
to add classes to the “recommended” and “Other suggested” boxes. This takes you to a page that allows you
to look up courses and add them.





- Select the course from the list
and click the appropriate “Add” button for the box you want the course to
be placed in. Example: To add ACC0201 to the “recommended” box
you would select it, the click here.
- To remove a course from selection,
click on it and then click “Remove”.
- After completing all selections,
click “Save Changes”.



The selected courses
show in the appropriate boxes upon return to the main advising screen.
- You can now click on the “Create
New Message” button to create a message to send to the advisee.



- Add any further instructions or
information to the student here.
- To make sure that the student gets
notified that a message is waiting when the login to SIS, click this box.
- Then click “Save”. The message is sent automatically after
saving and you will be returned to the main advising screen.




- Back on the main advising screen
you will see the message listed here.
It doesn’t show in this example because I cancelled rather than
save.
- You can view a selected message by
clicking this button.
- To lookup the advisee’s
registration PIN, click the “PIN Lookup” button. You will get a popup screen like the
following:

This is the PIN you give the
student so they can register.

I have erased the
personal information in this example but the boxes above describe what would be
there.
After giving the
student the Registration PIN, just click “Close”. You will be taken back to the main advising
screen.

course sequence for the major.

at this time but will show a course history.

- Descriptions of other buttons and
links are in the boxes above.
- Once you are finished with the
advisee, you can select another advisee with the “Advise Other Student”
button or click the “Back to Main Menu” button or “Sign Out”.
This completes the
advising process
